How a call review reads
A sample call, drawn the same way the Call Reviews page draws it. Yours will have different steps and notes.
The line you tap on a person's call list.
Jul 22, full call plan, 31 min. Did 5 of 6 steps.
Each step of the call plan. DONE, HALF WAY, SKIPPED, DID NOT APPLY. "Did not apply" is never held against you.
| What should happen | Did it happen | What the reviewer heard |
| Set the frame: told them we'd walk through their Profit Leak results and they agreed |
DONE |
Prospect agreed to the walk-through. |
| Named their biggest leak from the results and got a real example |
DONE |
One leak, with an example from their shop. |
| Summed the problem up in their words and confirmed it's the biggest one |
DONE |
|
| Asked how long it's been going on |
DID NOT APPLY |
Timeframe already on the quiz. |
| Got them to put a dollar figure on the last 12 months |
DONE |
They worked the number out loud. |
| Sold the Joey call and booked a day and time |
DONE |
Booked for Thursday. |
| Checked whether anyone else has to say yes |
HALF WAY |
Assumed they decide alone. |

One thing to practise — the drill for the next call.
Do this on the next call
Ask who else signs off, then sit in the silence.
What worked, and what was skipped, in the reviewer's words.
What went well
Locked one leak in their words before moving on.
What got skipped
Did not re-check decision-maker after the book.
How a lead reads
A sample lead, drawn the same way the Leads page draws it.
The sentence at the top of a lead: who has it, how fast they reached out, and the appointment.
Jordan
Came in Aug 25 at 10:00am. Assigned to Calvin. Reached in 3 minutes by Calvin. Booked for Aug 28 at 10:00am, showed.
The score out of 100, with each piece in words. A missing piece is left out, not counted as zero.
Lead score 90
- Reached in 3 minutes.
- Followed up on 3 different days in the first week.
- Typed 67% of texts and emails by hand.
- Sent an attachment.
- Showed for the appointment.
Three kinds of follow-up you will see on the timeline: typed by hand, a saved template, and automation.

Words on the pages
- Did 3 of 6 steps
- how much of the call plan happened on that call.
- Did not apply
- a step that could not happen on that call. Never held against you.
- Not reviewed
- the recording could not be scored. The page names which one it was: a voicemail, a group call, the wrong person, or no audio. Not a zero.
- Reached within an hour
- first text, email or dial to the lead inside 60 minutes of it coming in.
- Typed by hand
- texts and emails you wrote yourself, as a share of every text and email that went to that lead. A saved template you fired counts as follow-up but not as typed by hand, and neither does automation. Dials are counted separately.
Expect this number to be low. Almost all follow-up on this account goes out as saved templates and workflows, which is what we asked for, so on most days it will read single digits and often 0%. That is not a claim you did nothing. It is a count of one specific thing: messages in your own words. If we are wrong we are wrong in your favour, because anything we cannot prove is a template is counted as typed by hand.
- Reached within an hour vs Typical first reply
- Reached within an hour counts a dial. Typical first reply does not: it counts only the first text or email that went out under your login, template included. So the two lines on your card are answering two different questions.
- Could not tell if typed by hand
- we have the message but not its words, so we do not guess. It counts on neither side.
- Outside the 14-day window
- the lead is older than our message history, so we cannot time the first reply.
- Not assigned
- the lead has no owner in the CRM yet.
- Attachment sent
- we can count an attachment only while its parent message is available. GHL conversations are a rolling window; once older parent messages are gone, we cannot tell whether an attachment went out.
- Lead score
- 0 to 100 from speed, follow-up, typed-by-hand share, attachment, and whether the appointment held. A missing piece is left out, not counted as zero.
